Job Description: The Executive Assistant role will provide support to the Infrastructure ICS team in London which currently comprises of 1 MD and 1 Principal. As the ICS team expands, the EA’s responsibilities will grow as well. The responsibilities include: • Extensive diary management; coordinating internal and external meetings in the UK, US, Asia and Europe. Working regularly with other team EAs and external EAs to coordinate meetings/calls over different time zones, also using Zoom and Teams

• Booking conference rooms for internal and external meetings; registering guests in the visitor system

• Organizing national and international travel arrangements, including flights, cars and hotels

• Coordinating attendance at meetings at conferences and preparing briefing note packs in collaboration with the ICS team

• Interface with external clients/business colleagues

• Meeting note data entry and report generation in Salesforce

• Liaising with compliance for approvals of marketing documents

• Completion of detailed corporate expenses via Concur, including tracking receipts and reimbursements

• Supporting the Infrastructure ICS team across various workstreams, including: • Tracking meetings in Salesforce CRM system

• Answering LP queries/requests by phone or email or forwarding requests to appropriate team members where necessary

• Liaising directly with LPs to coordinate and diarize meetings

• Coordinating and managing logistics for roadshows from start to finish,

• Preparing Power Point presentations or updating presentations when required • Preparing and updating Excel spreadsheets when required Qualifications and Experience:

• Strong communication skills; high EQ

• Ability to stay calm when working against competing deadlines and with a “can-do” attitude

• Previous EA Experience from a similar professional/corporate background. Prior experience in an Investor Relations team preferred

• Extensive experience with Microsoft Office Suite, as well as experience with CRM software (knowledge of Salesforce preferred), and Concur

• Experience with coordinating complex travel arrangements

• Proactive approach, eye for detail and strong follow through

• Ability to set priorities independently and multi task

• Ability to build relationships with key stakeholders and management

• Perform duties with the highest level of confidentiality and integrity.
