The Administrative Assistant role entails working to provide support to a Senior Managing Director and their team within the Finance group. Responsibilities for the role include the following:

  • Manage calendars, including scheduling and confirming meetings, coordinating with other assistants, planning large scale monthly/quarterly meetings with multiple senior stakeholders

  • Manage guest check-in and registration processes

  • Ensure the reception area and common spaces are always tidy and presentable

  • Coordinate complex global travel planning, schedules, and itineraries

  • Answer calls and act as a gatekeeper

  • Act as backup support for other senior professionals

  • Book conference rooms for internal and external meetings

  • Assist with business expense management in Concur

  • Compile and circulate agendas for calls

  • Receive, sort, and distribute incoming mail and packages

  • Track incoming requests for information

  • Maintain and organize digital files

  • Work on various ad-hoc projects

Qualifications:

  • Excellent organizational skills including multi-tasking and prioritizing competing tasks and meeting deadlines

  • Experience coordinating travel arrangements

  • Strong Microsoft Office skills, particularly Outlook

  • Familiarity with Concur

Expected annual base salary range:

$70,000 - $130,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.

Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
