This position will be a hybrid work arrangement. You will receive 18 remote workdays per quarter to use at your discretion, subject to manager approval. For example, you may choose to work in the office 4 days per week and take one remote day weekly (typically 13 weeks per quarter), leaving 5 additional remote days to be used as needed.
We are seeking an experienced Executive Assistant to support members of the Americas Human Resources team with a wide array of administrative responsibilities. This is an outstanding chance to join a dynamic team at HarbourVest

What you will do:
- Plan and coordinate meetings, both virtual and in-person, with internal and external parties, often coordinating across multiple geographies and time zones
- Schedule candidate and hiring manager interviews on behalf of the Talent Acquisition team
- Book travel arrangements, supervise last-minute changes as needed
- Prepare expense reports promptly and collaborate with other Executive Administrative staff to align expenses incurred for travel with colleagues
- Assist with planning and accomplishing team events to foster collaboration and inclusion
What you bring:
- Excellent bi-lingual (English/Spanish) verbal and written communication skills
- Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
- Outstanding organization and time management abilities
- A motivated, self-starting attitude with the ability to work independently as well as part of a team
- Proven ability to coordinate travel arrangements effectively
- Strong attention to detail, ensuring flawless execution of tasks
- Operates with a bias for action
Experience:
- 5-8 years of administrative experience in Investment Management or Financial Services preferred
- Workday experience a plus
