ITE is looking for a Reception Associate to join its dynamic and rapidly growing NYC Team.

Today, the firm manages over $10 billion of industrial transportation assets with office locations in NYC, Chicago, and St. Louis. Due to the firm’s dynamic and forward-thinking approach, the capital commitments have tripled in the past three years.

Position Overview

ITE Management is seeking a friendly, professional, and high-energy Receptionist to join our New York City office. This in-office role (4 days per week) is ideal for a proactive individual who thrives in a fast-paced, client-facing environment and enjoys being the central hub of office activity. The Receptionist will be responsible for creating a welcoming atmosphere, supporting office operations, and ensuring seamless meeting and guest experiences.

Key Responsibilities

  • Front Desk Presence: Serve as the first point of contact for all visitors, clients, and staff, providing a warm, professional, and polished welcome. Maintain a tidy and organized reception area at all times.
  • Administrative Support: Manage complex calendars, coordinate meetings across multiple time zones, and proactively resolve scheduling conflicts.
  • Conference Room Mission Control: Manage conference room scheduling, setup, and turnover. Ensure all meeting spaces are prepared, equipped, and presentable for internal and external meetings.
  • Meeting Beverage & Catering Setup: Coordinate and set up beverages and catering for meetings, including placing orders, arranging delivery, and ensuring timely and accurate setup and cleanup.
  • Travel Arrangements: Assist with booking travel and accommodations for staff and guests, including flights, hotels, ground transportation, and itinerary management.
  • Mail, Filing & Administrative Tasks: Receive, sort, and distribute incoming mail and packages. Maintain filing systems (physical and digital) and support general administrative tasks such as data entry, document preparation, and supply inventory.
  • Office Support: Provide additional administrative support to office staff and leadership as needed, including calendar management, event coordination, and special projects.
  • Stocking the Pantry and Supply Closet: Monitor and replenish office pantry and supply closet to ensure all necessary items are well-stocked and organized.
  • Assist the Office Manager with Event Planning: Support the Office Manager in planning and executing office events, team gatherings, and special functions.

 

  • Salary Range: 
    • Estimated base salary range for this position is: $50,000-$75,000. Employees may also be eligible for an annual discretionary incentive compensation award. Actual base salary may vary based upon, but not limited to, relevant skills, experience, qualifications, and geographic location. 
  • Qualifications
    • 1-3 years of experience in a receptionist, front desk, or administrative support role (professional services or finance industry experience preferred)
    • Exceptional interpersonal and communication skills; able to interact with all levels of staff and visitors with professionalism and discretion
    • Strong organizational skills and attention to detail; able to manage multiple priorities efficiently
    • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and conference room scheduling tools
    • Ability to work independently and as part of a collaborative team
    • High energy, reliability, and a positive, can-do attitude
